The trade-off is freshness: a file only knows what was true when it was exported, so before you start, decide how often you will send a new file and how the tool will learn that a customer has already paid.
Where AgentCollect fits. You can start without connecting your ERP: AgentCollect can work from a spreadsheet upload and connect to your billing system later. AgentCollect is not an AR suite and does not replace one. AgentCollect runs alongside your existing AR system.
Disclosure: AgentCollect (Y Combinator S23) wrote and publishes this page, and AgentCollect sells software in this category. We do not rank providers, and options are grouped by buyer situation, not by preference. Every fact about another company links to that company's own page, checked on October 8, 2026. "Not listed on vendor site" means we did not find it on the pages we checked, not that the capability does not exist. Confirm details with each provider before you sign anything.
TL;DR
- You do not need an ERP integration to start. You need a clean export of open invoices with contact details and an open balance per invoice, and a plan to refresh it.
- The real risk of a file-based start is contacting a customer who paid after your last export. Send a fresh file often, and ask every vendor how a payment reaches its system before the next message goes out.
- Waiting for the integration is the better choice when the history your team relies on lives only inside a system, when outcomes must be written back to that system, when you need payments matched to invoices in your books, or when the integration is close anyway.
- Several reminder and workflow tools publish a spreadsheet or CSV start on their own sites. Most AI agent products and AR suites in this guide describe starting from a connection instead. The vendor table below shows what each one says, with links.
- AgentCollect starts from your open invoices, through a connection to your billing system or a spreadsheet upload.
The questions buyers actually ask
This page comes from recent sales calls with finance leaders. We have not named any company or person, and nothing from those calls is presented as a result. Paraphrased, three situations came up again and again.
Our ERP is being replaced, and nothing new can be added to that project. One buyer told us they had looked specifically for an option that needed no ERP integration. An ERP replacement was under way, its scope was frozen, and the choice was between waiting until the project ended or finding something useful now. Like many teams, theirs already worked from a regular export of open invoices in a spreadsheet. That export is the natural starting file.
All our customer history lives in another tool. Can a pilot skip it? Another buyer's team works every account inside a specialist AR tool that holds the contact details, the emails and the past disputes. Their question was whether a pilot could run on a defined group of customers without touching that tool, and what an AI agent would miss if it did.
We run many separate ERP instances. How much access is needed before anything useful happens? A third buyer runs many ERP instances, each with its own terms and its own wording, and asked what an agent needs before it can do anything useful. Connecting all of them before a first test would take longer than the test itself.
Each situation leads to a different answer, and the sections below take them one at a time.
When waiting for a full ERP integration is the better choice
A spreadsheet start is a shortcut with trade-offs. Wait for the integration, or start with a much smaller scope, in these cases:
- Payments arrive throughout the day and you cannot refresh the file often. If payments arrive constantly and your export runs once a week, some customers will hear about an invoice they already paid. A daily export reduces this a lot. If even a daily export is not possible, wait for the connection.
- The history your team relies on lives only inside a system. If past disputes, promises and contact changes sit in a specialist AR tool or in the ERP, an agent working from a file starts without that context. It may ask a customer something your team already settled. You can export that history too, but if it is spread across free-text notes, the integration is usually the better path. This was the second buyer's situation. A pilot outside that tool works only with a clean history export, or with a group of customers who have little history.
- Your team needs every outcome written back into the system of record. If auditors, managers or other teams only look at the ERP or the AR tool, a file-based start means outcomes live in a second place. Some teams accept a separate dashboard for a pilot. Others cannot.
- You need software that matches payments to invoices or posts entries in your books. That is AR suite work, and it needs a live connection. If that is the main job, look at the suites in the vendor table, not at a spreadsheet start.
- Your terms and contract details exist only inside the ERP. If payment terms differ by business unit, country or customer and are not in any report, a file will miss them. That was the third buyer's concern. Starting with one entity whose terms you can export is often the workable middle path.
- The integration is close. If your IT team can connect the system soon and the vendor has a ready path for it, a file adds a step you will throw away.
- Your security or data teams want one data path, reviewed once. Moving files by hand or by email may be harder to approve than a single reviewed connection.
If none of these apply, a spreadsheet start is usually the faster way to learn whether AI follow-up works for your customers, and it does not lock you out of connecting later.
What a spreadsheet start actually needs
The file matters more than the tool. A good starting file is the open invoice list or aging detail report your team already uses, exported with one row per open invoice and these columns:
- Invoice number and invoice date
- Customer account name and account number
- Billing contact name, email and phone number, ideally the person who approves payment, not only a generic inbox
- Due date and payment terms
- Original amount, currency and open balance
- PO number, if your customers use them
- Preferred language, if you know it
- A flag for accounts that must not be contacted, and a note for invoices that are disputed or on hold
- The invoice copy, as a file or a link, if you want customers to be able to receive it again
The open balance column is the one teams forget. Yonovo makes the same point in its own guide: an export that only shows the invoice total cannot tell a paid invoice from an open one, so get that column added before you evaluate any vendor (Yonovo guide).
Then agree on four things before the first customer hears from anyone:
- Scope. Which customers and which invoices are in. Many teams start with the accounts they do not have time to reach, and keep their largest customers with a named owner.
- Refresh. How often a new file is sent, and by whom. Daily is a sensible default. Many ERPs can schedule a report and email it, so nobody has to remember. Yonovo describes pointing a scheduled report at an inbox the platform provides, so each new file is imported when it arrives (Yonovo guide).
- Exceptions. Who handles a dispute, a request for a credit, or a customer who asks to speak with a person, and where those cases land.
- Exit. What happens to the setup when you connect the system later. The follow-up rules, messages and history should carry over. Ask the vendor to confirm that in writing.
The one risk to plan for: payments after the export
Every file-based start shares the same weak spot. On any file-based start, a payment shows up only when a newer file shows it. Yonovo describes its own file-based paid detection this way: an invoice open in yesterday's file and settled in today's file is marked paid, and its follow-up stops (Yonovo guide). AccountsReceivable.ai says that connecting later removes the manual export and lets payments be written back automatically, "which is what keeps the chasing accurate day to day" (AccountsReceivable.ai).
Three habits shrink the gap:
- Send a fresh file before each round of outreach, not once a week.
- Tell the tool about payments you see first. If a customer says they paid, someone should be able to pause that invoice at once.
- Keep a do-not-contact list for accounts where a mistaken message would cost more than a late payment.
Ask each vendor three direct questions: how does a payment reach your system on a file-based start, how fast can my team pause one invoice, and what does the customer hear if they say they already paid?
For AgentCollect specifically, the answer depends on how you start. Once your accounting system is connected, AgentCollect syncs with your accounting system several times a day and stops contacting a customer about any invoice your books show as paid, so customers who already paid are not chased. That paid-invoice stop depends on the accounting connection, so it does not apply to a spreadsheet-only start. On a spreadsheet-only start, the fresh-file and pause habits above are what protect your customers. AgentCollect lets your team keep a VIP do-not-contact list and pause or stop at invoice level.
What to compare
| Criterion | Why it matters | What to ask |
|---|---|---|
| Day-one data | Some tools need only a file; others need a live connection before anything happens. | What is the smallest file that lets the tool start, and which columns are required? |
| How payments become known | A file is a snapshot; a connection is closer to live. | On a file-based start, how does a payment reach the tool before the next message? |
| Refresh path | Manual uploads get forgotten. | Can a scheduled export arrive by email or file transfer, and who is alerted if it does not arrive? |
| Where outcomes land | Your team needs to see what was said before it steps in. | Without a connection, where do call records, replies and flagged cases live? |
| What it writes back | Some teams require every outcome in the system of record. | Does the tool write anything back once connected, and what exactly? |
| Who talks to customers | Reminders, a human service, or an AI agent change the customer experience. | Which channels, under whose name, and how are disputes handled? |
| Controls | Some accounts must never be contacted, some invoices need a pause. | Can you exclude accounts and pause a single invoice? |
| Path to connecting later | A pilot should not have to be rebuilt. | Do rules, messages and history carry over when you connect? |
| Pricing basis | Some vendors publish plans, others quote. | What is fixed, what varies, and what triggers a change? |
Options by buyer situation
If you run on an accounting package and want organized reminders
Reminder and workflow tools are the most common spreadsheet starters, because their buyers often have no IT team to run an integration.
ReceivAR turns a weekly AR export into a follow-up workspace: you upload the aged AR export, it maps the columns, generates letters with AI or templates, and compares each new upload with the last one to show who paid and what moved (ReceivAR). Its pricing page lists unlimited CSV and Excel imports, email sending with reply tracking, and published monthly plans, and describes the product as built for professional services firms (ReceivAR pricing). It is strong for a team that wants structure around letters and promises without any connection at all.
AccountsReceivable.ai says it can work "from a CSV export of open invoices, with nothing connected", and that a CSV upload gives you the aging view and the reminder sequence for every invoice without granting any access (AccountsReceivable.ai). The same page says email and SMS sequences come with the entry plan, adds a live AI phone call on a higher plan, and publishes its plan prices (AccountsReceivable.ai). Its candour about what a connection adds, quoted above, is useful for any buyer.
Chaser offers Chase Import, which it describes as "a CSV import tool that lets you quickly import your receivables data into Chaser, no matter the accounting system", alongside two-way API integration (Chaser integrations). Chaser lists email reminders, SMS reminders, automated phone calls, in-app calling and a customer payment portal (Chaser), and publishes plan prices by revenue band (Chaser pricing). Chaser also sells Care, a service package of human AR help, as an add-on to all plans (Chaser pricing). It is strong for teams that want a broad reminder toolkit and the option of a person on the phone.
If you want AI agents talking to your customers
AI agent products split into two camps on this question.
Yonovo shows "Your books, or a CSV" on its homepage, with CSV upload next to its listed accounting connections, and follows up by email, SMS and AI powered voice calls, escalating what needs a human (Yonovo). Its guide argues that a scheduled export is enough to run follow-up sequences and that, when a new ERP goes live, you switch the data source without touching a single sequence (Yonovo guide). Pricing is quoted based on revenue, customers and features (Yonovo pricing).
Upflow describes AI agents that work alongside your team, with autonomy controls from suggestion-only to fully autonomous, across emails, SMS, calls, letters and tasks (Upflow). Its integrations page describes native integrations with "Real-time sync. No implementation required.", a public REST API to "import and manage customers, invoices, payments, and contacts", and custom integrations built by its Professional Services team (Upflow integrations). A spreadsheet start is not listed on the pages we checked. Upflow quotes by annual invoiced revenue band (Upflow pricing).
Stuut says it "connects to your ERP, banks, CRM, and payment systems. Nothing gets replaced.", engages "across email, SMS, and voice", and "works inside your systems and controls and asks before doing anything new" (Stuut). A spreadsheet start and pricing are not listed on the pages we checked. Stuut is a strong fit when you can connect your systems and want one agent working inside them.
Paraglide says its agents work in your finance inbox, replying to invoice queries "in any language", and that it "connects seamlessly with your ERP, CRM, billing software, and email inbox"; for a system that is not listed, "We can build a custom integration" (Paraglide). A spreadsheet start and pricing are not listed on the pages we checked. Paraglide fits teams whose pain is a crowded finance inbox.
If you are standardizing AR across many ERPs
AR suites are built for the third buyer's situation, and most describe connecting to several systems rather than starting from a file.
HighRadius says its Collections Management Software requires minimal IT involvement, with "plug-and-play integration into ERPs using real-time APIs and Hex (SFTP) connectors", and its FAQ says a collections tool "enables global standardization across multiple ERPs and regions" (HighRadius). The same page lists worklist prioritization, personalized outbound emails and a parallel dialer for your AR team (HighRadius). Pricing is not listed on the page we checked. HighRadius is strong when you want one AR platform across many entities and have the project capacity.
Gaviti says it "Works with any ERP or business system. Can connect to multiple systems simultaneously." and positions itself as improving AR "without changing your ERP" (Gaviti). Gaviti offers custom pricing based on usage, not per user (Gaviti pricing).
Tesorio takes the opposite stance to a spreadsheet start and says so: "No CSV exports, no middleware, no manual syncing. Tesorio connects directly to the tools your finance team already uses.", adding that "Any ERP can connect via Tesorio Connect" (Tesorio integrations). Pricing is not listed on the pages we checked. That clarity helps buyers who already know they want a live connection from day one.
BlackLine describes capturing data "across multiple regions, countries, banks, ERPs, and CRMs, consolidated into a single platform", and says Verity Collect "adds autonomous outreach capacity to your existing team" (BlackLine). A spreadsheet start and pricing are not listed on the page we checked. BlackLine fits finance teams that already run, or plan to run, its broader close and invoice-to-cash suite.
AgentCollect
AgentCollect describes itself in one line: "We help companies get paid sooner, with an AI billing concierge on every customer account." AgentCollect starts from your open invoices, through a connection to your billing system or a spreadsheet upload. You can start without connecting your ERP: AgentCollect can work from a spreadsheet upload and connect to your billing system later. AgentCollect is not an AR suite and does not replace one. AgentCollect runs alongside your existing AR system.
AgentCollect runs a dedicated AI agent per account across voice, email and SMS. AgentCollect agents work under your brand. AgentCollect follows up with the customer accounts your team does not have time to reach, by voice, email and SMS. With AgentCollect, your customers pay you directly. AgentCollect does not buy your receivables.
With AgentCollect, your team keeps every decision that needs judgment. In AgentCollect, the AI never applies a credit, discount or invoice reissue on its own. Those requests go to your team. When the AgentCollect agent is not sure, it flags the case to your team in the AgentCollect dashboard or in Slack. With AgentCollect, when a customer disputes, calls on that account stop and the dispute can be routed to your team. Your team sees a short summary of every call in the account report. Full transcripts are available on request.
AgentCollect is a weaker fit for a team whose main need is AR suite work, such as matching payments to invoices in its books, because AgentCollect is not an AR suite and does not replace one.

Moving from a file to a connection later
A spreadsheet start is meant to end. When the ERP project finishes, or when the pilot has earned an integration, plan the switch like this:
- Keep the file running until the connection is proven. Run both for a short overlap and compare the open invoice lists. Differences usually point to filters in the export that nobody remembered.
- Check that history carries over. Every message, call record and flagged case from the file period should stay attached to the right customer and invoice.
- Re-check your exclusions. Do-not-contact accounts and paused invoices from the file period must survive the switch.
- Decide what, if anything, gets written back. Some teams want only a read connection. Others want outcomes in the system of record. Ask the vendor exactly what it writes, in which fields, and who approved that access.
- Retire the export. Once the connection is live and checked, stop the scheduled file so two sources never disagree.
For a buyer with many ERP instances, the same steps apply one entity at a time. Start where terms can be exported and the team has the least capacity, prove the follow-up there, and use what you learn to scope the integrations that matter.
FAQ
Can you start AI billing follow-up without an ERP integration?
Yes. Many tools can start from a spreadsheet of open invoices and connect to your ERP or billing system later. Plan how often you will send a fresh file and how the tool learns about payments made after your last export. You can start without connecting your ERP: AgentCollect can work from a spreadsheet upload and connect to your billing system later.
What should the spreadsheet include?
One row per open invoice with invoice number and date, customer account, billing contact name, email and phone, due date and terms, original amount, currency, open balance, PO number if used, and a flag for accounts that must not be contacted. The open balance column matters most, because without it a tool cannot tell a paid invoice from an open one.
What is the main risk of starting from a spreadsheet?
Contacting a customer who paid after your last export. On any file-based start, a payment shows up only when a newer file shows it. Send a fresh file before each round of outreach and make sure your team can pause a single invoice at once.
When is it better to wait for the ERP integration?
When your customer history lives only inside a system, when every outcome must be written back to the system of record, when you need payments matched to invoices in your books, when your terms exist only in the ERP, or when the integration is close anyway.
Does AgentCollect stop contacting customers who already paid?
Once your accounting system is connected, AgentCollect syncs with your accounting system several times a day and stops contacting a customer about any invoice your books show as paid, so customers who already paid are not chased. That paid-invoice stop depends on the accounting connection, so it does not apply to a spreadsheet-only start. On a spreadsheet-only start, send fresh files often and use the controls: AgentCollect lets your team keep a VIP do-not-contact list and pause or stop at invoice level.
Do we lose our setup when we connect the ERP later?
You should not. Ask every vendor, AgentCollect included, to confirm in writing that follow-up rules, messages, history and exclusions carry over when the data source changes from a file to a connection.
We run several ERPs. Do all of them need to be connected first?
Not to start. Many teams begin with one entity or region whose open invoices and terms can be exported, prove the follow-up there, and then decide which connections are worth the project.
Is AgentCollect a replacement for our AR system?
No. AgentCollect is not an AR suite and does not replace one. AgentCollect runs alongside your existing AR system.
