Where AgentCollect fits. We help companies get paid sooner, with an AI billing concierge on every customer account. AgentCollect runs a dedicated AI agent per account across voice, email and SMS, under your brand, and your customers pay you directly. AgentCollect is not an AR suite and does not replace one. It runs alongside your existing AR system.
Disclosure: AgentCollect publishes this guide and sells a separate AI billing concierge, so we have a stake in the answer. We do not rank options. Every NetSuite fact below links to Oracle's own NetSuite documentation or announcement, checked on October 19, 2026. NetSuite changes with each release, so confirm the current behavior in your account or with your NetSuite partner before you decide.
TL;DR
- NetSuite's Dunning Letters SuiteApp sends escalating dunning letters by email on a schedule, or queues them for manual email or printing, based on rules you set for days overdue and amounts (Oracle NetSuite Help, Dunning Overview).
- It is a strong fit when email or printed letters are what your customers respond to, and you want every reminder to live in NetSuite with no extra vendor.
- The Dunning Letters SuiteApp is purchased separately: Oracle tells customers to contact their NetSuite account representative to buy it and have the bundle shared to their account (Oracle NetSuite Help, Enabling Dunning).
- The NetSuite dunning pages we checked describe sending letters by email and printing them. We did not find phone calls, SMS or replying to a customer's questions in those pages.
- A separate AI billing concierge adds the conversation: an agent that answers the customer, by voice, email or SMS, and hands judgment calls back to your team.
- Many teams can start with what NetSuite already gives them, measure which accounts still do not pay, and only then decide whether those accounts need a conversation rather than another letter.
Who this guide is for: controllers, AR managers and CFOs at companies that run NetSuite and are asking whether to get more out of built-in dunning or add a separate tool for the accounts that stay unpaid.
What NetSuite's built-in dunning does today
NetSuite's dunning lives in the Dunning Letters SuiteApp. Here is what Oracle's documentation says it does, in plain words. All links are to Oracle's NetSuite help center, checked October 19, 2026.
Escalation rules. Oracle says dunning procedures define the escalation points, or dunning levels, and the time that must pass before a letter goes to a customer, and dunning levels set the thresholds for overdue amounts and days overdue and which letter template to use at each level (Dunning Overview). Oracle's setup assistant notes that you can send a reminder letter before the due date by entering negative days (Dunning Setup Assistant).
Customer, invoice or invoice group. Oracle says a dunning procedure can evaluate all invoices of a customer and send one letter listing the overdue invoices, evaluate invoices one by one and send a letter for each, or work at the level of an invoice group (Creating Dunning Procedures).
Automatic or manual sending. Oracle says you choose Automatic to have the system send letters by email, or Manual to have letters printed or sent by email by a person (Creating Dunning Procedures). In manual mode, Oracle says letters are generated and placed in a queue for review before they go out (Dunning Setup Assistant). Oracle also says automatic generation of PDF dunning letters is not supported, and PDF letters are generated manually from the printing queue (Dunning Overview).
Scheduled evaluation. Oracle says that after the SuiteApp is installed, an administrator must set up the dunning evaluation workflows to run on a schedule, and those workflows find customers, invoices and invoice groups with overdue amounts and send the letters (Scheduling the Dunning Evaluation Workflow). Oracle says only posting invoices are evaluated (Dunning Overview).
Guardrails. Oracle says a minimum dunning interval prevents sending letters more often than a set number of days to the same customer (Creating Dunning Procedures), and that letters are not sent when dunning is paused, when that interval is not met, or when the dunning level has not changed (Sending Dunning Letters Automatically).
Pausing for questions. Oracle says you can pause dunning to deal with a customer's queries about an invoice, or to allow more time for payment, then resume it, and that automated and manual dunning actions are tracked in the system notes (Dunning Overview).
Languages and sender. Oracle says you can create dunning letter templates in various languages (Dunning Overview), and that the dunning manager on a procedure is the employee whose name appears as the sender of the letter (Creating Dunning Procedures).
Getting it. Oracle says to contact your NetSuite account representative to purchase the Dunning Letters SuiteApp and have it shared with your account before you install it (Enabling Dunning). Oracle also notes that dunning procedures must be created and updated in the user interface, not imported by CSV or script (Creating Dunning Procedures).
NetSuite's AI features around receivables
NetSuite is adding AI near this workflow, and it is fair to count it.
- Payment Date Prediction. Oracle says this feature uses machine learning to forecast when an invoice is likely to be paid, showing a predicted payment date and predicted overdue days on invoice records, and that it is disabled by default and runs weekly (Payment Date Prediction for Invoices). Oracle says predictions need at least 12 weeks of payment history and at least 50 paid invoices from before that period (same page). Oracle calls the predictions "estimates, not guarantees". This helps your team decide whom to chase first. It does not contact the customer.
- SuiteAgent frameworks. Oracle announced on October 7, 2025 that SuiteAgent frameworks "will enable customers, partners, and developers to build, integrate, and deploy SuiteAgents directly on the SuiteCloud Platform", with NetSuite Next letting users monitor agent progress, review results and intervene (Oracle announcement, October 7, 2025). If your NetSuite partner builds or offers an agent for receivables on this framework, compare it on the same criteria as any separate tool.
We did not find, in the NetSuite pages we checked, a NetSuite-built agent that phones customers about invoices or answers their replies. That may change; check your NetSuite release notes.
When NetSuite's built-in dunning is the better choice
Stay with NetSuite dunning, and tune it before you buy anything, if most of these are true:
- Your customers pay after a clear reminder. If a well-written email or letter at the right moment gets most invoices paid, the escalation rules above already do the job.
- Your account count is small enough for your team. If your team can personally answer every reply and call every account that needs a call, a second system adds work without adding reach.
- You want one system of record. Dunning actions sit in NetSuite's system notes, letters attach to the customer record, and there is no data leaving your ERP to a new vendor (Dunning Overview).
- Your IT team prefers fewer vendors. A SuiteApp from NetSuite itself goes through one vendor relationship and one security review.
- You need printed letters. Oracle's dunning supports a PDF printing queue for letters you mail (Dunning Overview).
- You have not switched it on yet. If you are not using dunning levels, invoice-level procedures or the minimum interval today, start there. It is the cheapest test of whether reminders are your real problem.
AgentCollect's view is that customers often pay late because of friction, such as a missing invoice copy, a wrong PO number or an unclear invoice, not because they refuse to pay. If that matches what you see, the next question is who removes the friction, not how many letters go out.
When a separate AI billing concierge is worth adding
A separate tool earns its place when the accounts that stay unpaid need someone to talk to. Signs to look for:
- Replies pile up. Customers answer the dunning email asking for a copy, a PO number or a W-9, and nobody gets back to them for days.
- The long tail never hears a voice. Your team calls the largest accounts, and the many smaller ones only ever get letters.
- Customers need another channel. Some customers do not read email from a billing address, but would answer a call or a text.
- Customers write in another language. Letter templates can be translated; a live answer in the customer's language is a different job.
- Disputes hide inside reminders. A customer who disputes a line keeps receiving letters until someone notices and pauses dunning by hand.
This is the work AgentCollect covers. AgentCollect follows up with the customer accounts your team does not have time to reach, by voice, email and SMS. AgentCollect answers your customers the moment they ask: invoice copies sent during the call, PO questions, in their own language. Your AgentCollect agent can introduce itself as your billing assistant, not as a collector. With AgentCollect, when a customer disputes, calls on that account stop and the dispute can be routed to your team.
What stays with your team matters as much. With AgentCollect, your team keeps every decision that needs judgment. With AgentCollect, the AI never applies a credit, discount or invoice reissue on its own. Those requests go to your team. When the agent is not sure, it flags the case to your team in the AgentCollect dashboard or in Slack. With AgentCollect, your team sees a short summary of every call in the account report. Full transcripts are available on request.
How to compare: built-in dunning vs a separate AI billing concierge
| Question | NetSuite Dunning Letters SuiteApp (per Oracle docs) | A separate AI billing concierge (ask each vendor) |
|---|---|---|
| What does it send? | Dunning letters by email, automatic or manual; PDF letters for printing, generated manually | Ask: which channels are outbound, and which are inbound only? |
| Does it talk to the customer? | Not listed in the dunning pages we checked | Ask: can it answer a reply or a call, and what can it say on its own? |
| What triggers contact? | Dunning levels by days overdue and amounts, on a scheduled evaluation | Ask: what decides who is contacted, when, and how often? |
| What happens on a dispute? | You can pause dunning and resume it later | Ask: does outreach stop on its own, and who is told? |
| Who appears as the sender? | The dunning manager named on the procedure | Ask: whose name, domain and phone number does the customer see? |
| Where is the history? | System notes and the customer record in NetSuite | Ask: where do summaries and transcripts live, and can your team see them? |
| What does it need to start? | Purchase of the SuiteApp, install, admin setup of workflows | Ask: does it need an ERP connection, or can it start from a file? |
| What does it cost? | Contact your NetSuite account representative | Ask for the full fee structure in writing |
The options, by situation
Within each group, options are in no particular order.
Situation 1: reminders are the problem
Tune NetSuite dunning first. Set dunning levels for days overdue and amounts, decide between customer-level and invoice-level procedures, set a minimum interval, and use pause when a customer raises a question (Creating Dunning Procedures, Dunning Overview). Turn on Payment Date Prediction if you have the payment history it needs, so your team calls the right accounts first (Payment Date Prediction for Invoices).
Situation 2: your team needs a better collections workflow inside or on top of NetSuite
If what you need is better worklists, a portal or richer reminder sequences for your own collectors, several AR platforms connect to NetSuite. Versapay says it integrates with NetSuite, Intacct, Dynamics 365 or any other ERP via open APIs or flat files (Versapay, checked October 2026). Upflow lists NetSuite among its accounting and ERP integrations (Upflow, checked October 2026). Tesorio says it completed NetSuite Next Ready validation on August 18, 2026 (Tesorio blog). Chaser lists automated phone calls and SMS payment reminders among its features (Chaser, checked October 2026). These are tools your team runs. Ask each one who makes the calls and who answers replies.
Situation 3: the unpaid accounts need a conversation your team cannot have
This is where a separate AI billing concierge fits. AgentCollect starts from your open invoices, through a connection to your billing system or a spreadsheet upload. You can start without connecting your ERP: AgentCollect can work from a spreadsheet upload and connect to your billing system later. If you connect it, AgentCollect syncs with your accounting system several times a day and stops contacting a customer about any invoice your books show as paid, so customers who already paid are not chased. AgentCollect offers a VIP do-not-contact list and lets you pause or stop at invoice level.
If you keep NetSuite dunning running while you test a separate agent, agree in advance which system owns each customer, so no customer gets a letter and a call about the same invoice on the same day.
A simple way to decide
- Measure what NetSuite dunning already does. Pick a recent month and look at which invoices were paid after a letter and which were not.
- Read the replies. For the invoices that stayed unpaid, check what customers wrote back, if anything. Requests for copies, PO numbers or contact changes point to friction, not refusal.
- Count the accounts nobody called. If most unpaid accounts never got a human conversation, the gap is capacity, not software.
- Test on part of your customers. Run a separate agent on a defined group of accounts next to your NetSuite dunning, and compare the two groups over the same period.
- Decide on evidence. Keep what works. If letters are enough, you have saved a vendor.
Questions buyers ask
Is NetSuite's built-in dunning enough for a mid-size company?
Often, yes, if your customers pay after a clear reminder and your team can handle the replies. NetSuite's Dunning Letters SuiteApp escalates letters by days overdue and amount, by email or for print. If the accounts that stay unpaid need a conversation, consider adding a separate agent for those accounts only.
Does NetSuite dunning call or text customers?
The NetSuite dunning pages we checked on October 19, 2026 describe letters sent by email or printed. We did not find calls or SMS in those pages. Check your current NetSuite release notes and ask your NetSuite partner.
Is NetSuite's dunning feature included in NetSuite?
Oracle says to contact your NetSuite account representative to purchase the Dunning Letters SuiteApp and have it shared with your account before installing it. Ask your representative what your current contract includes.
Does NetSuite have AI for collections?
NetSuite offers Payment Date Prediction, which forecasts when invoices are likely to be paid, and Oracle has announced SuiteAgent frameworks for building AI agents on NetSuite. Neither, in the pages we checked, phones customers or answers their questions about an invoice.
Can I use NetSuite dunning and a separate AI agent at the same time?
Yes. Agree in advance which system contacts which customers, so nobody gets two reminders about the same invoice, and pause dunning on accounts the agent is handling.
What does a separate AI billing concierge do that a dunning letter cannot?
It can answer. A letter goes out and waits; an agent can send the invoice copy, answer the PO question or take the call in the customer's language. With AgentCollect, your team keeps every decision that needs judgment.
